Description

A huddle room without a fixed installation

Poly Sync 40 addresses small meeting rooms and flexible workspaces where meetings happen irregularly and users arrive with their own laptop. The device sits on the table, runs on battery and connects with a single cable, so it needs no power outlet, no mounting and no room account of its own. For the customer this means a low entry cost and the option to move the device to another room at any time.

Three microphones and a two and a half metre range

Three microphones arranged in a steerable array pick up voices at a range of up to 2.5 metres and focus on the speaker rather than on surrounding noise. The speaker with bass reflex and passive radiators is sufficient for a room with several people and for video playback. The recommended room size is up to 5 × 5 metres; the detailed figures are in the specifications.

Two units for a longer table

If the table exceeds the recommended pickup range, two units can be linked wirelessly by pressing the link button on both devices. According to the manufacturer's user guide a Sync 40 can also be linked with a Sync 60, which helps when the customer already owns one unit. Audio then plays through both units at once, or in stereo mode.

Strengths and limits

Strengths

  • Deployment without installation and without a power outlet, battery for up to 30 hours of talk time

  • Combined USB-A and USB-C connector, works with older and new laptops alike

  • Wireless linking of two units, and according to the manufacturer's guide also with a Sync 60

  • IP64 rating and a standard two-year limited manufacturer warranty

Limits worth telling the customer

  • A wireless connection to a laptop requires the BT700 adapter, which only the plus variants include. See the variants table above.

  • The 2.5 m pickup range covers a standard huddle room, not a meeting room with a long table.

  • This is not a room system. The meeting is always run by the user's laptop or phone, the device does not sign in to a room account.

  • Battery operation means agreeing who charges the device and where. The 85R78AA charging stand solves this.

⚑ atlantis note

The plus variant

The difference between 772C4AA and 772C5AA is only the bundled BT700 Bluetooth adapter. If the customer wants to call wirelessly from a laptop, the plus variant works out cheaper than adding the adapter separately.

Universal or Teams

Codes 772C4AA and 772C5AA are universal versions, 77P35AA and 77P36AA are Microsoft Teams certified. Mixing them up is the most common ordering mistake across the Sync range, the devices are otherwise identical.

Charging and theft

In meeting rooms portable devices go missing and tend to be flat. The 85R78AA charging stand solves the first problem and the 85R80AA desk mount, which fixes the unit to the table top, solves the second. Neither is included in the box.

Recommended room parameters

Recommended room size

Microphone pickup range

2.5 m

Extending to a longer table

wireless link between two units, per the manufacturer's guide also with a Sync 60

Typical deployment

huddle room, small meeting room, shared workspace, portable device for several rooms

Good fit

A huddle room up to 5 × 5 m where users run meetings from their own laptops, irregular use, and a requirement for deployment without installation and without a power outlet at the table.

Check the design

A longer table where the most distant participant sits beyond 2.5 m (a second unit solves this), all-day use requiring charging, or a requirement for wireless calling from a laptop. We are happy to review it.

Consider another model

For a permanent meeting room choose Sync 60 with six microphones and mains power, for personal use Sync 20. If the customer wants a full room system with its own account, offer Poly Studio X32 or X52.

Connection and modes of use

Recommended for a huddle room

By cable to a laptop

The device appears as a USB speaker and microphone, with no drivers to install. The combined connector covers both USB-A and USB-C.

USB-A

USB-C

For phones and guests

Wirelessly over Bluetooth

Direct pairing with a phone or tablet, range up to 30 m, up to 8 devices held in memory. To a laptop wirelessly through the BT700 adapter.

Bluetooth 5.1

For a longer table

Linking two units

Two units link wirelessly with a button and cover a larger space. According to the manufacturer's guide a Sync 40 can also be linked with a Sync 60.

Wireless link

Poly Sync 40 is not a room system, it does not sign in to a room account and has no meeting application of its own. It is always the audio device of a connected laptop or phone, which is also the reason it works with any communication platform.

Specifications

The figures match the HP technical specifications for order codes 772C4AA and 772C5AA and the Poly Sync 40 data sheet. They apply equally to all four ordering variants, only the box contents differ.

What to check before ordering and installing

  1. Room: dimensions, table length, position of the most distant participant against the 2.5 m pickup range

  2. Order code: universal or Teams, and the plus variant if a wireless link to the laptop is needed

  3. Charging and placement: who charges the device and where, free space in the middle of the table, and for shared rooms the 85R78AA stand and the 85R80AA desk mount

  4. Longer table: decide on a second unit and its position, or on linking with an existing Sync 60

  5. Acoustics: reflective surfaces, air-conditioning noise, placement away from the table edge

  6. Management and operation: Poly Lens and a firmware update before handover, user training and an acceptance test with a real call

The atlantis team will help with every point. From assessing the room through pre-configuration and firmware updates to installation and on-site training, see Management and services below.
